1. Equipment Rental Cancellations

1.2 How to Cancel Equipment Rental
To cancel an equipment rental booking:
- Contact us via phone at +44 312 015 7337 during business hours (Monday-Friday, 9 AM - 6 PM)
- Send an email to [email protected] with your booking reference number
- Cancellation is effective from the time we confirm receipt of your cancellation request
- You will receive a cancellation confirmation email within 24 hours
1.3 Rescheduling Equipment Rentals
Flexible Rescheduling Options:
- Bookings can be rescheduled once without penalty if done more than 7 days before the original rental date
- Rescheduling within 4-7 days incurs a £25 administrative fee
- Rescheduling within 48 hours is subject to availability and a 25% rescheduling fee
- New dates must be within 90 days of the original booking
- Rescheduling is subject to equipment availability
2. Filming and Production Services Cancellations

2.2 Third-Party Costs
For filming and production services, non-refundable third-party costs may include:
- Hired crew members
- Location fees already paid
- Specialized equipment rentals from external suppliers
- Travel and accommodation bookings
- Licensed music or stock footage
These costs will be itemized and deducted from any refund due.
2.3 Rescheduling Production Services
- Services can be rescheduled once without penalty if done more than 14 days in advance
- Rescheduling within 7-14 days incurs a 15% rescheduling fee
- Rescheduling within 7 days is subject to crew availability and may incur third-party costs
- New dates must be mutually agreed upon and confirmed in writing
3. Refunds Initiated by Taverdis Productions
3.1 Equipment Unavailability
If we are unable to provide the booked equipment due to:
- Equipment damage or malfunction
- Unforeseen circumstances
- Overbooking (rare, but possible)
You will receive:
- Full 100% refund of all payments made, OR
- Option to substitute with equivalent or upgraded equipment at no extra charge, OR
- Rescheduling to alternative dates with a 10% discount
3.2 Service Cancellation by Us
If we must cancel filming services due to unforeseen circumstances, you will receive:
- Full 100% refund of all payments
- Reimbursement of any direct costs you incurred due to the cancellation (up to the value of the service fee)
- Priority rebooking when circumstances allow
4. Weather and Force Majeure
4.1 Outdoor Filming Services
- Weather-related cancellations for outdoor filming can be rescheduled without penalty
- If rescheduling is not possible, a 90% refund will be issued
- Decisions regarding weather cancellations are made jointly between client and Taverdis Productions
4.2 Force Majeure Events
In cases of force majeure (natural disasters, pandemic restrictions, government orders, etc.):
- Bookings will be rescheduled to mutually agreeable dates at no additional cost
- If rescheduling is not possible, a full refund will be provided
- Neither party will be liable for consequential damages
5. Equipment Issues and Service Quality
5.1 Equipment Malfunction During Rental
If equipment malfunctions during your rental period:

- We will provide replacement equipment within 4 hours (during business hours) or next business day
- If replacement is not possible, you will receive a pro-rata refund for the affected rental period
- No refund is provided if malfunction is due to misuse or client error
5.2 Service Quality Concerns
If you are not satisfied with our filming or production services:
- Notify us within 7 days of service delivery
- Provide specific details of concerns
- We will offer to rectify issues through revisions or reshoots (if within scope)
- If resolution is not possible, a partial refund may be considered on a case-by-case basis
6. Refund Processing
6.1 Processing Time
- Refunds are processed within 5-10 business days after cancellation approval
- Refunds are issued to the original payment method
- Bank processing times may add 3-5 additional business days
- You will receive email confirmation once the refund is processed
6.2 Security Deposits
- Security deposits are refunded separately from rental fees
- Equipment must be inspected before security deposit refund
- Security deposits are typically refunded within 5-7 business days after equipment return
- Deductions may be made for damage, loss, or cleaning fees
7. Non-Refundable Items
The following are non-refundable under any circumstances:
- Custom podcast studio setup fees (if installation has begun)
- Completed filming services (footage delivered)
- Third-party licensing fees (music, stock footage)
- Delivery fees for equipment already delivered
- Administrative setup fees for custom projects
8. Partial Rental Refunds
For early equipment returns:
- No refund is provided for early returns of daily rentals
- Weekly rentals returned 3+ days early may receive a 25% refund for unused days
- Monthly rentals returned 2+ weeks early may receive a pro-rata refund (minus 20% early termination fee)
- Early return must be coordinated and confirmed with our team
9. Disputes and Appeals
9.1 Refund Disputes
If you disagree with a refund decision:

- Include your booking reference, detailed explanation, and supporting documentation
- We will review appeals within 10 business days
- Final decisions will be communicated in writing
9.2 Chargebacks
Important Notice: Initiating a chargeback without first contacting us may result in:
- Suspension of your account

- Legal action to recover costs

- Documented medical emergencies may qualify for full or partial refunds outside normal policy
